Presenting from PowerPoint (Teams)

With PowerPoint Live in Teams, both the presenter and the meeting attendees can view and move through the slide deck in a variety of ways. The presenter can easily share a slide from anywhere in the deck, and attendees can absorb the content at their own pace (unless the presenter prefers to keep everyone focused on the current slide).

  1. Select Share content in your meeting controls.
  2. In the PowerPoint section, select the file you want or select Browse to find a file that isn’t listed.

Notes: 

  • The PowerPoint section lists the most recent files you've opened or edited in your team SharePoint site or your OneDrive. If you select one of these files to present, all meeting participants will be able to view the slides during the meeting. Their access permissions to the file outside of the meeting won't change.
  • If you select Browse and choose to present a PowerPoint file that hasn't been uploaded to Teams before, it will get uploaded as part of the meeting. If you're presenting in a channel meeting, the file is uploaded to the Files tab in the channel, where all team members will have access to it. If you're presenting in a private meeting, the file is uploaded to your OneDrive, where only the meeting participants will be able to access it.

By default, you’ll see the presenter view: your presentation notes to the right of the slide you’re currently presenting, and a thumbnail strip of slides along the bottom.

 

Navigate through the slides

  • To present the slides in order, use the navigation arrows at the bottom left of the current slide.

     
  • To jump ahead or backwards, select a slide from the thumbnail strip along the bottom of the screen.

     
  • To choose from a grid view of all the slides in the presentation, select Go to slide  Go to slide icon  next to the navigation arrows (or select the G key on the keyboard).

     

Simplify your view

If you prefer, remove the thumbnail strip and notes of the presenter view so that you can focus on the current slide.

  • Select More options below the current slide and then select Hide presenter view. (You can also select the sharing window and then press Ctrl+Shift+x.)

     

Make it high contrast

Switch to a high contrast view of the slides that supports presenters with low vision. This won’t affect what meeting attendees see.

  • Select More options below the current slide and then select View slides in high contrast.

 

The participant view

By default, meeting participants have the following view options. None of these choices affect anyone else's view.

  • View the current slide.
  • Use the navigation arrows to move around to different slides. 
  • Choose from a grid view of all the slides in the presentation by selecting Go to slide next to the navigation arrows (or selecting the G key on the keyboard).
  • Sync their view back to the presenter's view with one click—select Sync to Presenter

Note: If you don't want people to be able to independently navigate through a PowerPoint file you're sharing, select (it's next to Stop presenting) to prevent it.

  • Switch to a high contrast view of the slides by selecting More options below the current slide and then selecting View slides in high contrast

     
  • Translate the slides into one of 19 languages by selecting More options, then Translate slides and a language.
