Microsoft Teams offers many features to help you stay connected, organized, and productive. By customizing channel notifications, creating private channels, sharing files, pinning important resources as tabs, using subject lines, and making announcements, you can make the most of Teams. Try these tips and discover new ways to work efficiently with your colleagues!

Managing Channel Notifications

Customizing notifications helps reduce distractions and ensures you only get important updates.

  1. Open Microsoft Teams and navigate to the desired team and channel
  2. Click on the 3-dot icon next to the channel name to open the More channel options menu
  3. Select Channel notifications
  4. Choose your notification preference:
    • All activity: Get notified about every post and reply.
    • Mentions & replies: Only get alerts when you’re mentioned or someone replies to your posts.
    • Off: No notifications for this channel.
  5. Click Save. Your settings will take effect right away.

Using Private Channels

Private channels are great for specific working groups within a larger team.

  1. Go to the team where you want a private channel

  2. Click the 3-dot icon next to the team name and select Add channel
  3. Enter a channel name and description
  4. Under Privacy choose Private – Only invited users can access
  5. Add members who should have access
  6. Create the channel

File Sharing in Teams

Sharing files in Teams keeps documents organized and easy to access for everyone involved.

  1. Open a channel and click the Shared (formerly known as Files) tab at the top
  2. Click Upload to add files from your computer or cloud storage
  3. To share an existing file, select the file and click Share or copy its link
  4. All files uploaded here are accessible to channel members

Adding Files or Applications as Tabs

Pinned tabs make it easy for team members to quickly find important files and tools.

  1. Go to the channel where you want to add a tab
  2. Click the + (Add a tab) button at the top
  3. Choose an app (like Word, Excel, OneNote) or select a file from the Shared tab
  4. Follow the prompts to finish adding the tab

Using Subject Lines

Subject lines help conversations stay organized and make it easier to find important discussions later.

  1. When starting a new conversation in a channel, click Post in Channel
  2. Enter a subject line at the top
  3. Type your message below the subject
  4. Send your conversation

Making Announcements

Announcements are perfect for important updates, big news, or reminders that need extra attention.

  1. In a channel, start a new conversation and click Post in Channel
  2. Click the Announcement icon that looks like a megaphone
  3. Add a headline and your message content
  4. Use formatting options for emphasis, such as bold or color
  5. Send your announcement
